Because of the nature of our services — which involve custom setup, training, and integration — we operate under a limited refund policy, outlined below.

1. Installation Fee
The $500 installation fee is non-refundable. This covers initial agent setup, training based on your practice’s materials, and preparation for integration with your website or scheduling system. Work begins shortly after payment, so this fee is retained even if service is canceled before the agent goes live.

2. Monthly Management Fee
Our $2,000 monthly management fee is billed in advance and covers:

Refunds for the monthly fee are not guaranteed and are only considered in these limited cases:

There is a confirmed error, failure, or delay on our part that significantly prevents the agent from operating as promised

The client reports the issue within 7 days of billing and gives us a reasonable opportunity to resolve it

In any case, we will first work with you to explore all available resolutions, including adjustments, additional support, or service credit. Refunds are only issued if a resolution cannot be reasonably achieved.
